Here are the 5 gotchas that caught me by surprise when working with the SharePoint Hub sites in Office 365.
I am sharing these gotchas in hope they save you headache and issues post-go live.
Most of these are easy fixes, but some are critical and can compromise your governance and create a big mess in the long run.

Great video. Just a tip, when creating a sample word document type =rand() and press the enter key...this will generate random text instead of having to spam the keyboard with asdfs.... :)

I agree DeShon... that footer thing is strange. If we’re to understand the benefits of the HUB then the footer has to trickle down. Keep the good content coming man!

Awesome video, as usual. I always learn so much from your teachings. The footer navigation, in my experience, has always been for current site (i.e., current site contact, etc.). So every page within a site should be the same, but once you navigate to another site, it could be different. Just my 2 cents.

seems like they are not changing this :-(. To me the footer should be HUB wide .vs site collection wide

Hi DeShon, you make great videos. Really love them. You probably already know it, but at 1:15 you point out that we need to uncheck "Send email". We don't need to worry about it because SPO will never send emails to two groups: 1) "Everyone" and 2) "Everyone Except external users" no matter whether "send email" checked or not.

Hey man, great hearing from you again!!! Great point...this scenario scares the crap out of me. The last thing anyone wants is to send an email to EVERYONE in the organization. Especially since theses emails have your name as the sender. It's best practice and habit none the less...thanks for clarifying. Hope all is well

@@DeShonClark Anytime! Yeah, I've got a few for you. I'll have to jot them down send send them over. Our office needs SharePoint for the infrastructure but everyone wants to fully operate through the Teams interface. Right now we're kind of doing "whack a mole" to keep people from making new groups and duplicating shared files. - It's not completely out of hand but it's still a structural issue. Good news if you haven't heard, 365 is rolling out access control on Team Channels. They said it'll be live in November. 🥳

Wow! Access control at the channel level is much needed. Seems like MS would have copied this feature as well from slack. It will be very interesting to see how they pull this off. Thanks for the heads up

Fantastic video DeShon! This series has been invaluable (as everyone else has already said) as I, like many others have been tasked with developing my Team's Team Site. Do you have any thoughts on Flat filing vs File Explorer Folder Hierarchy within Document Libraries and any tips for those people who may "have" to keep the old way of file explorer hierarchy? And a bonus question of creating, default views for specific sub-folders (my google searching ends with most users suggesting there is a bug which prevents this - e.g. Finance Folder has finance view and HR folder has HR View but it cannot be done but could with classic SharePoint) All good if not - this free 5 part series has been far more beneficial than most paid for courses!

Thank you for the feedback, I really do appreciate it!! Okay, let's see... 1) go with folders or whatever's comfortable for the end user. The last thing you want is to create friction to force them flat when they think in folders. There's nothing wrong with the folder structure and you can still create a view to go flat. Folder structures are also needed to lock things down, in the event a secure folder or set of files comes into the equation... you're set. 2) I've actually never used the distinct view per folder feature in older versions of SP...sounds cool. I've not seen this, so can't relate to the pain of not having it in modern. But if there is a large enough need ,and large enough file set to justify it...just put these sets of files in a separate library within the same site...you could then alter the view as needed per lib. Just surface the library on the left nav to make it easier for users to bounce between the other libraries....this should work out fine

Great videos. There’s a lack of How Tos and best practices when it comes to the modern experience, please keep them coming. I have 1 question though. Why is it that when you search for an image from a home page and not the library directly, the image result takes you to the form of the image to fill out metadata instead of the image preview?

i watched the sequence about Ashley 10 times. DeShon set the Document Filter to "edited by current user" so Ahley cant see nothing because she never edited a document. The selected Filter did the job :))

Great video DSC. How did you get the link in the Teams library to the Public Library to look like that and be part of the move/copy dialog?

When you're on the files tab in Teams, select the External Storage option to "bring in" the other document library...this can be any library in any SP site....pretty neat feature.

Hi DeShon. Nice video! Very helpful. Quick question. I followed the steps in adding a myself under "People who can associate sites with this hub site" I have a test account and as soon as login to the test accounts sharepoint, she still has the create site button available. Any advise?

the create site link on the main site collection in the HUB , I think, is tied to the owner permissions on that main site collection. If you drop the access down to "Edit" then the link should go away...I need to verify this one

Comms sites has this option to support companies with multiple sites worldwide (or just different locations in general) so they released this footer custom for site details, like address, phone, etc.

This sorta kinda a little bit make sense...but everything around branding and nav with this hub feature propagates down to the other site collections in the hub...I think this was a miss and would be fixed soon. In the scenario you described I would create a hub for each of these languages/locations, especially if the common info is that distinct.

These five videos really helped me to get my head around setting up Modern SharePoint for an Intranet. I recall seeing something earlier this week that suggested creating an org-wide Team and then adding your intranet link to that team page is a good way to set it up. Does that make sense to you?

If you create a large hub site (for a school) based on team sites will someone not in that team be able to see that particular page?

I think you're onto something, there is a new permissioning feature for modern team sites that grant access to the site outside of the team membership. go to the gear icon and click on site permissions you will see this option. Another trick I use is to make the team site public but remove everyone access and then specify name users as visitors.

Hi, thanks for a great video! Would you say that it´s possible to build a knowledge base from this new Sharepoint 2019 features? And that the new hybrid search function would be good enought for that?

Very good question! I think you will be able to build a knowledge base on its abstract form...not one to one with what you get I'm classic SharePoint. But with pages and pages properties (metadata) should should be able to stitch something compelling together...at a minimum something that is 1000% to manage from a contribution standpoint. As far as hybrid search, I would recommend digging deeper in Modern SharePoint search on o365. You would want to take advantage of the latest algorithms built-in Microsoft Search....the crawl and indexing process is the same, but the query/search piece is where all of the magic is happening. You will have to dig into Microsoft Search onprem indexing capabilities and go from there.

How about Hub to Hub navigation? I know you can get access to everything from the SharePoint home but how would you go about having a one stop shop for your hubs (like on your intranet) and users being able to easily navigate back and forth since the global nav is hub specific...

Hi how to exclude Te ams document from out of the box Search from HUB site search. Consider HUb as an intranet?

If you don't want the document in the search, you can set the option in the advance properties of the document library

Modern Team site doesn't have header/footer/Mega menu settings under Change the Look option while comm site have these options . Also , there is no option to create a communication subsite under a root comm site ,only team site subsite (Modern/Classic)can be created. Please let me know your thoughts.

First, thank you for watching. I think this is by design, as the communication site is the best for the entry HUB site. Once the HUB is established, other sites joined to the HUB will just take on the mega menu, header , and footer as the entry site for the HUB.

Any thoughts on how to show birthdays of employee on the site based on data in Azure AD? Much requested functionality and not found a good solution yet.

This is interesting, and a common ask. Ask you can imagine, there are may ways to got about this. 1) take a look at PowerApps and the Office 365 Users that will get you access to users in office 365 and some of their profile data. 2) Look into SPFx and grabbing this data using the Microsoft Graph API... here are some hints to ideas, you will have to research to get more details...but hope this helps with which directions to look

One of the options could be to restrict who can create Groups, as it will also block Teams and modern Team Sites

@@DeShonClark Since both Comm sites and the STS#3 template can be created without a Group so both Groups and SharePoint settings needs trimming. We usually manage this through scripting/ provisioning tool

How can you tell if site is created by Team vs SharePoint?

Very good question. I am not sure on the answer to this one. But, this is what I know, Communication sites are not created with Office365 Groups. MS Team Sites are ALWAYS created with O365 Groups. Microsoft is just now adding the capability to add Office365 groups (via the UI ) to both classic Team sites and earlier Modern Team Sites. Finally, you can have a Modern Team site with an Office 365 group and NOT have a MS Team site connected to it...but this is now available in the UI...on the left below the navigation links on the site. I am just not sure how to determine which sites Team Sites, that do not have a MS team associated,
