I almost never comment on anything in RU-vid. DeShon, you are one of the best (if not The Best) SharePoint professionals I have seen on RU-vid - hands down! Your explanations, your real world examples, your tutorials... how you walk your audience through implementing scenarios is absolutely fabulous. You have helped me understand and implement things in a fraction of the time it would have taken me otherwise. I sincerely thank you for all that you do and the value you add. Trying to understand the permission structure. It seems straight forward for the department itself and representation of SharePoint vs Teams (which thank you!). When we do our annual audits for users having access, what would you say is the best practice for using Modern Groups vs the Built-in Teams Group. For example, we have 5 team members, and one was specifically tied to a folder in the general folder files. When they are offboarded, we don't necessarily delete the users right away, but we have no vision that they were manually tied to a folder in our audits. We have been using Azure Security Groups to help provide this vision when we do an audit on someone's account (ex. SG-IT-TEAM-MEMBER). When it comes time, we can pull against the security groups in Azure to quickly determine what roles need to be modified or can be quickly revoked through the removal of the SG. Greatly appreciate some input related to this as I keep learning more on the Strategy behind these approaches. Or should we be looking at it from the Department controlling their narrative of the sites and auditing their own respective areas?

I love the annual audit idea, speed would be the most important thing for most clients. An annual audit to clean up security groups is a must, just to kind of get rid of the dead weight. In Azure (Entra ID) AD you can see all the groups a user is tied to... So as part of my offboarding process, I will be looking at the groups from a user level. And tackle it that way. Then I will also ensure that if I remove that user from the group, the group is not empty. I'm not sure how you guys do it there, but for some clients when a user gets off-boarded, the manager takes over the OneDrive and their access for a period of time. Once that grace period elapsed then IT jumps in and starts removing the user from the respective groups . I think you're spot-on to put the responsibility on the department, to ensure that they are replacing the offboarded user with a new user within their area. We see this a lot with power apps and power automates created by the off-boarded user. This becomes an exponential problem when you have citizen development going within the organization. So I think the role from IT, security, is providing the manager of that department the information or tool, which enables them to easily identify the assets that need to be updated

Thanks, DeShon. Excellent insights. I’ve evolved to this basic construct regarding document management: use Teams (with its DocLib) to collaborate on document development/revision; use SharePoint (in non-Teams DocLib) for document storage/retrieval. Because I haven’t learned Power Automate yet, I haven’t wrestled with determining the best construct for documents with workflows (e.g., leave requests). I’m guessing it probably will be SP. I love all the options that MS is providing & expanding, but it sure is hard to figure out what’s best. We’re a very small company, limited budget, everybody wears several hats, & totally self-taught. Your videos are very helpful in that self-taught learning path with clear explanations & good examples that address the questions I have. Thank you.

Thanks for watching...yes for the leave request sample I think the document library woild be just fine for this...if they need to complete a document. Else I would use a SpList to capture the details of the request and use Power Automate to route for approval/notifications

wonderful idea...I bet it would be much cleaner on the MS Teams side...not sure about the multiple site collections structure though...may be messier on the SharePoint side....I'll take a crack at it

Love! I crave brains around architecture. Our biggest data managment issue is people not securing controlled info and sharing out. I am teaching flat filing, yet lack permissions to create content types, as needed. Limitations changed everything for Teams connected sites. l am merging collaboration and sharing out into a single site to retain custom metadata and my Hubs are centered around permission schemes, so l can push security to all associated sites and brand sites with colors and icons indicating file sensitivity. l am considering removing company view rights for the default doc library, so only team sees drafts. I have not see anything similar. Mapping concept to poke holes in it now..lots to consider! Thanks for talking through your concept!

This is a very cool way to solve for a common requirement. I don't know if I can fully understand your strategy without actually speaking to you and see it in practice. But it sounds like you're going the right track. One of the things I'm starting to get a better appreciation for is DLP policies. There's a lot of control and options to help keep confidential documents inside the org and preventing them from being shared externally regardless of permissions.

Nice. Solid crisp explanation and blueprint for a SP/Teams design strategy that leverages the unique capabilities of each. Tho, it is kind of a chasm crossing for the average user whose technical apogee is file explorer.

Hi there... at 17:13 you showed how to add cloud storage (HR comm site documents) - I tried that - and the Relevant Sites just keeps spinning and never resolves (I am in the Owner group on our HR comm site). I copied and pasted the site link "Use a SharePoint link" and that worked. BUT, when I go to move a document from my team site to the new shortcut folder - it does not appear for me to move it into (18:30). Any ideas?

Hi there! I apologize for the confusion. Regarding the issue with the "Relevant Sites" not resolving, it could be due to a temporary glitch or an issue with your network connection. I recommend trying again later or using the SharePoint link instead, as you've mentioned it worked for you. As for the issue with moving the document from your team site to the new shortcut folder, it's possible that there might be a permissions issue. Double-check that you have the necessary permissions to access and modify the folder. If the issue persists, it would be best to reach out to your site administrator for assistance. ​@@DeShonClarkHello, The issue we discussed before are indeed feasible. ​ I have now successfully patched the contents of the three fields in sharepoint A (height, weight, Attachments [there are multiple attachments, they may be pictures or files]) to sharepoint B through power automate in a newly created json column. because I want to store the three columns in sharepoint A in a json column in sharepoint B.
