Tqvm for give me an idea.. Appreciated.. Now i can use it with my current long list items. One more think how we can add row between 2 row of the list items.
Hey Russell - this is awesome thanks, the only thing is, when I move a column with a choice value in it - it doesn't really work - the flow is trying to make you decide which choice value to put in every record. Any ideas? thanks Will
That sound cue you use for the "subscribe CTA" at the end of this video is quite startling. I'm glad I didn't have a drink in hand as my full body spasm was pretty intense.
Thanks. Is there a way to get this done for specific items in a list. I want to move only items where a task status is marked as "complete". I have tried filter array , but that didn't help. Can you suggest please?
Have you tried adding a conditional action? For instance, you could add a condition at the 'Get' step with an 'If yes' and 'If no' action. I haven't tried it but it might work.
Hi, Russel! Is there any way to copy the item from one microsoft list to another when something specific from this item changes? For example, I have a list of materials and the status of each material (Waiting for delivery, storaged, etc) and I would like to copy this item to another list when this status is changed do "used". Is there any way I can do this?
Exactly , I need to know the exact same thing , i'm using Microsoft List for social media planning and i want my list to be archived every time i change a Choice Value to "Published" . is it possible ? how can we do this ? also thank you for your amazing and really helpful video 🙏
Gret video Russel! Quick question, I am trying to do this but my two lists have an "Assigned to" field which may include multiple people. When I include these fields, the flow fails unless I 'apply to each' which then gives multiple entries into my new list. Is there any way around this?
I love yt. Think what you want type it and boom you find a video about it 😂great!! I do have one question do: I was wondering if it is possible that when you fill in a column it automatically goes into the archive list. I have a start date column and a and a end date column. Is it possible that when you fill in the end date it automatically goes into the archive lists? Please tell me you have the magic answer 😬😬😬
Hi Russell!! Thank you so much for this video. I was scouring the internet for this action. I do have a question, will I always have to select the Item and click on the Archive flow to move it or is there a way that Flow will automatically run the flow?
Thank you for this. On a personal note, this is why I hate Microsoft. They could easily add a drop-down menu item in lists to accomplish this, or allow you to copy and paste, but they instead require you to find workarounds, and other convoluted ways to achieve something that should be as simple as copy and paste.
No problem. To be fair to Microsoft, Lists isn’t designed for items to be moved. That’s not how lists are supposed to work. This video was giving an example of how you might build a flow.
@@RussellSmith That's my point though, Microsoft is poorly designed. I understand the power of using Power Automate for certain things, but there should also be built-in, and simple options. There are threads about workarounds for this all over MS forums of people wanting a simple and user-friendly solution, so Microsoft knows its users want something simpler and more intuitive, but they don't listen to them. I'm glad I'm a Mac user. I only use MS software in certain work environments, and it drives me crazy. I would rather be attacking my work to-do list, than spend half a day figuring out how to accomplish what should be a simple task. -- Don't mind me, I'm just frustrated. Also, in your tutorial, you choose the trigger flow "for a selected item" which doesn't appear in my menu, so I'm still stuck without a solution.
@@randolphmail strange you don’t have the option ‘for a selected item’. My point is that you aren’t supposed to move items between lists. You delete them, change them, or leave them. That’s how lists are designed to work. If you move list items, it’s like using a screwdriver to tighten a nut.
@@kmorrison412 I haven't come across the problem myself but you might try looking at this post. It appears to give some insight into how to resolve the problem of moving attachments between lists: powerusers.microsoft.com/t5/Building-Flows/Move-one-item-and-its-attachments-from-one-list-to-another-list/m-p/170607#M17367
Thank you! There are some issues moving certain data types. But if you add images as 'attachments' in your lists, you might be able to move them. The post below is about moving images from Lists to OneDrive but you could see if it works for Lists to Lists as well. powerusers.microsoft.com/t5/Building-Flows/Flow-to-Move-Scanned-Images-in-Microsoft-Lists-to-Onedrive/td-p/823675
HI Russell - I love your videos! I am using lists for a rooming list. Is there anyway you can export the count and sum totals, when exporting to excel? Thank you!
Hi Russell. Thanks for your video on how to move items to an 'Archive' list. All works fine except the Data which in contained in a 'Choie' field/column. For some reason the text entered in the original 'choice' field does NOT move across.. Any tips on this issue perhaps ? Thanking you in advance, Regards. Martin ( South Africa)
Glad it was useful Martin. Sorry, I haven't come across this issue. My general advice is not to archive items to another list unless you really need to. Because there are many issues you might face, like the one you describe.
Russell, thank you for providing this very useful information video. One question; when I follow the steps of your video I'm not getting the archive list label displayed in the Automate drop list of the source list. Do you have any idea why this is please?
Thanks Adrian. I don't know why. Are you sure the archive list is in the same M365 tenant and reachable? Also, sometimes it can take a bit of time after a list is created for it to show up.
Hi Russell. Really appreciate your video! And agree with filtering over moving. However, I want to see my list from SharePoint teams site A from within Teams site B. I don't want to move it to site B or duplicate it. I just want to share the list (preferably on a Tab) the way I would share a document library or site page from site A. A second location to view the same list from (if you like). So far... I can't find anything to show this is possible. Do you have any helpful thoughts on that? Thx!!
Great video and tq for sharing.. If i need to delete certain item base on column (column name STATUS), i.e column item cell STATUS is CANCEL, what expression i need to use it, when every time in column STATUS cell change to CANCEL?
Hi Russel, how to connect "Assign to" column on Lists with Planner? When I assign a list to me, automatically create a planner task assign to me. Also could I make my "Category" column act as a bucket on that flow?
Hi Ruli. I've never tried to do that. You might take a look at these links for some ideas about how to get it working: www.c5insight.com/Resources/Blog/tabid/148/entryid/833/mapping-sharepoint-task-lists-to-microsoft-planner.aspx techcommunity.microsoft.com/t5/planner/create-a-task-in-planner-from-lists/m-p/1934932
Hi Russell, not carrying forward the history into the archive list could impact audit & compliance. Is there potential to build this into lists as an additional feature in the future?
Hi Russell, I have a list of items that need to be checked. Looking at your video it might be that I could use this feature. At the moment the items checked are moved to the bottom of the list but this is in MS Access. Is it possible to do something similar with MS Lists in that items are checked, moved to another place or hidden so that the only ones left to check are visible. Then once the last record is checked, they all appear again to be checked again on the next round. Hope this makes sense.
I would recommend creating a view in Lists that filters out the items you don't want to see. Moving items to another list isn't trivial. And I'd only do it if it's really necessary.
Hello I am creating an item and the options do not include all the columns from both lists. Looking to transfer the created by data to the second list. Any suggestions?
Can power automate automatically archive the list once the list view threshold is beyond 5,000 and will automatically archive the old list items created from the source?
I don't for sure. But take a look at this. You might be able to adapt this flow to suit your needs: powerautomate.microsoft.com/en-us/blog/how-to-archive-completed-items-in-sharepoint-list/
Hi Russell, when I try to do this with all the items in the list ("Get items" instead of "Get item") then the "Create item" step doesn't look the same and I must be filling it out wrong, because the new list is just populated with a load of empty entries. Any advice or suggestions?
Hi Melanie. Sorry I don't have any ideas. I'd would consider do you really need to move the items? Would simply creating a view in your list to filter out what you don't need to see be easier? That's what I've started doing.
Can you do the same but in selecting SEVERAL items at once, instead of just one? If I try to do so, the menu "automate" is no longer available in Lists.
How do you move items which have CHOICES columns ? When following you step by step, in Power Automate, i face something that I don't understand with the choices columns
I recommend that you don't move Lists items. Please see my comments to another viewer below. This video is just a demo of how you might use Power Automate with Lists. But Lists items aren't really designed to be moved.
Hi, great video! Trying to replicate it for a scheduled cloud flow unfortunately i was blocked at the step where you select the unique identifier (6:37). In your case the system suggests "ID" but in mine it says that there is any dynamic content. In my Lists is already present a column ID, so i don't understand what i am missing. Could you help?
Hi Ivan, thanks! Sorry, I don't know what's happening. I would suggest trying to create a different flow and see if you can get it to work. Or have a look at some of the flow templates Microsoft has available and see if they work as expected.
great video! But why do we need to create these flow when Microsoft could have just built a better app to begin with? Also, the amount of times you have to enter the same SharePoint info in those cards is absurd. what is the point of the first card if you have to fill the same info again and again and again and again?
