This is a continuation of my three-part video series on building advanced Power Apps app using SharePoint lists as the data source. This video focuses on how to patch the data to the three lists making sure the list IDs that maintain the relationship are saved as well..

These 3 videos were EXACTLY what I have been looking for and will be used in MANY of my apps going forward. I'd DEFINITELY be interested in a fourth video about editing and entry, but I'm also wondering about how a user can go back into the app to just view a previous entry that they themselves have submitted. The app that I'm building is for Building Code Analysis, and creates PDF of all of the values that the user put into the app. It's likely that someone will want to review an earlier analysis, and possibly change one or more values they had entered (and then create a new PDF).

Hi Daniel, this three-part series has been extremely helpful! Please can you make a 4th part - where we edit a request? e.g. I chose the wrong model and submitted it, and now I want to go back and change my request and select the correct model/device. Again, thank you so much!

Daniel, these are great videos from a customer perspective. How does it work on an employee side as far as seeing the data from each list that corresponds with the ID#? I have to create a work request for remote users that show all of the full details of the requests they are working on. In old sharepoint, there were only a few fields that were able to be displayed in a list once you make that lookup connection. Does Power Apps work differently?

Hey Shonda, Great question! There's two ways you can do that. 1) using Power Apps and galleries and relate the galleries using IDs. 2) Using Power BI reports and setup relationships. Hope this helps.

Very insightful and learned a lot. A quick question though. What would be a better way to have relationships among lists? Having ID's of master lists in the Requests list or having a lookup column? Lookup column could come in handy when using standalone SharePoint lists. Thoughts? Thanks for making great videos.

Hey Ashish, Lookup and Managed Metadata columns get challenging when it comes to patch functions. Also, say if you plan to migrate from SharePoint to another data source then you will have to redesign the data structure. Hence I prefer to use relationships if I have the option to build something from scratch.

Hi Daniel, thank you for your videos, really helpfull. I am creating an app following this advice on having multiple tables and using ID columns. Now, one question I have is which tool you will use to create, a PDF file with a form containing the information of the request and how you create a query to combine data from the multiple sharepoint lists? Thanks in advance.

Hey Omar, Thanks for the compliment. You have a few options to create the PDF file and choosing which one you want depends on how much content you have. The free way is using Power Apps to create the HTML file, send it to Power Automate and using OneDrive for Business, convert it to a PDF file. Reza Dorrani has done some videos on this topic. There are also other connectors available that will do the conversion for you. You want to look into those for higher volume. Hope this helps

Hi, Thanks for the videos very nicely described. one question, if sharepoint lists are moved to SQL server, will the lookups be shown as relationships between SQL tables? Or needed to define again? What I want to know basically is what I lose (from DataBase point of view) if I migrate from a sharepoint project to SQL-server and a web UI??

Your welcome S Kh, You will have to re-define the relationship in the SQL server tables. When you export a SharePoint list, you should get the item ID. You can import that to SQL and continue using the original list ID but make sure you do not confuse that with the SQL table's primary ID.

I am researching how to build an Application Portfolio Management app, that links applications to technical dependancies and adds automated workflows for upgrade notifications. I want to integrate into SharePoint lists to take advantage of the other power platform capabilities (automate, power bi). I am new to Power Apps and feel this gave me a really good foundation to start. Thanks for putting In the time and effort into this three part series. I look forward to part 4. Can you share the code snippet for the save to text someplace?

Hi Daniel Christian I’ve a question regarding your great video series about relationships in SharePoint lists and PowerApps. In the part 1 you discussed the building of the lists and necessary Id columns. I the related Id columns which point at issues in other lists, are normal number columns. To fill these fields ( in the related ID columns) I assume is a manual task with all possible failures like typo’s etc. When you have a long list like 10.000 rows almost an impossible job. Is there a way that using the PowerApp these columns generate their own, correct Id’s. I hoped to find this in part 3 but I didn’t or I missed it. Second Question. Is there a part 4 where you bring all your productivity to PowerBI and use PowerApps in BI? Thanks. Love your videos. Greetz from the Netherlands Steven
