This is a beginning of a three-part video series on building advanced Power Apps app using SharePoint lists as the data source. This series focuses on how the relationships are built across the lists. The three part series comprises of:
1) Planning SharePoint Lists Relationships
2) Initial build of the app using the relationships to view data

Thanks so much! Quick question on relating the tables: Is there a reason that you choose to use a numeric field type to relate the ID's in the tables rather than using the OOTB SharePoint Lookup field type?

Hi Matthew, You are welcome! Patching SharePoint Lookup fields, although not impossible, it can be challenging especially the patch commands. Hence I stick with building relationships.

Thank you for your amazing video! One questions, on Devices list and accessories list, we already have MRFID and Device ID. How do you get those IDs to be put on the Device list? Is it manually input? I understand that on Request list and the other yellowish table, we get the ID from within PowerApps

I really enjoyed this 3-piece series. And I'm planning to use this information to automate a Request for Service form based on SPO (watching you security video on SPO too 😁). However as a newbie to SPO is it possible to get an overview of how the different list are designed with their column types?

Hey John, Glad it was helpful! In this three part series the column types I used are: 1) Single and multiple line of text 2) Numerical column. This is where I saved the IDs 4) People and Groups. This helps to gather the names for future workflows. The patch function gets a little complex for these columns. 5) Date and time column. I stay clear of the lookup and managed metadata column as much as possible.

Hi Daniel, Great video thanks. I was wondering, and I may have missed it in the video, but what column types are you using for the ID references from other Lists? As in, is it a lookup type or are you adding manually to a single line of text column? thanks for your help.

I'm using the Number column type to save the ID. I set the decimal to 0 for aesthetic reasons. Don't use single line of text. Doing that will cause delegation warnings.

Amazing content!! Thank you. I do have a question about the relationships. Are you using lookup columns between the lists or do you use a number column and know that a certain ID is the right one? Example MFR ID =5 for MIcrosoft If you have a video on setting up the relationships at that basic level I would gladly watch. Your content is easy to follow

Hey Jah015, It depends on the situation. If I cannot use it then I simply hide it from the list view. If you want to add some data then do do a combination of user-date.

Excellent how to series!! One question, when I create a list from an existing excel file the and later I try to add/edit a column there is no "lookup" feature. It only appears when I create a list from scratch. Is this some kind of SPO limitation? Thank you in advance!!

Thanks for the compliment Panos. I've noticed that too and yes, that is a limitation but by design. The only two ways I created lists are either manually or using an existing list.

Hi Kiley, I read through your post. Try adding your formula to either the rich text control that allows HTML. Might have to use the Launch function. If that doesn't work then consider using a button.

Hi Diego, You are welcome. I've mentored Power Apps makers who have had lists with 15k items and others with 20K. As long as you setup your formulas correct i.e. non delegable and archive your lists in a timely manner, you should be fine.

Hello. Have a question regarding saving data from powerapps to an excel form. I want to register things in powerapps, and that it is added to a new line in an excel form. Is this possible? Do you have any video of this? Hope you understand what I mean :-)

Hi Frode, Technically, it's possible as long as the Excel spreadsheet is sitting in either OneDrive or a SharePoint document library. However, I highly recommend not using Excel to save data. You are going to run into limitations soon. If licensing is the main reason then use SharePoint lists.

Well Thanks, Mr Daniel you did it again a very nice self explanatory video of list relationships. But, I have a question why you are saving your data into 3 separate lists? what if one of the list gets deleted or some data loss? the whole model will break down? what if you save the data into one list, which is easily manageable and for backup purposes. Kindly clear me out on this

Your are welcome, Mustafa. Saving everything in one list will add you to a never end cycle of constantly adding more and more columns. Also, depending on the data entry, some items will have empty columns which can get confusing. Finally, it makes handling permissions much simpler. For lists that are used for dropdown values, you can set them as view only. Hope this helps.

Thank you Daniel. I am the IT support for my wife's business. I have an access database that I want to transform into a SharePoint/power app solution. The database has existing primary key/foreign key relationships. The client table has Primary Key ClientID, which is a foreign key in the exam table (eye exam - she is an optometrist). The ClientID autoincrements for each new client. Is there a way to bring in the data and maintain the existing relationship? Your comment is appreciated! Myles

Hey Daniel, Is there anyway for you to delete an item from the Parent list in this case the (MFR's) list if the child list (Devices) no longer contains the parent's MFR ID. I have tried Remove if MFR id not in Devices MFR ID column but to no avail. Thank you

Hi Skiptracing, Yes, there is you can use a combination of filter and remove to get this done. The filter will find the same parent ID in the child list.

Daniel Christian Hi Daniel, Thank you for the reply, but what i meant was to remove a parent record based on if the parent record id is still being used in the child list. For example if i were to create a new MFR in the parent list called. “ Apple” with the id of “6” and a new record in the child list “ Mac book pro” with a “6” in the MFR id column. If i removed the record “Mac book pro” from the child list(which in this case is the only device with the MFR of “6”), i want it to automatically delete the MFR “Apple” in the parents list, because there is no longer any records in this category. I only want the remove to happen when the MFR id is not being used in the Device list at all(so when there are 0 records with the parent id). Is this possible at all? Thank you

Hi Daniel - do you have any special advice related to working with SharePoint lists more than list view threshold of 5,000 records in Power Apps? I have a customer where the primary list for their Power Apps app is going to run over 5,000 records in 6 months and I want to make sure my queries and filters are ready to handle that without things breaking.

In the matrix you have a "Device ID" column that points to the Device List ID but then in the sharepoint list (for example in 14:52) that "Device ID" column isn't there. Am I missing something?

Hey Sace, The Device ID column refers to the ID column in the Device list. This ID is automatically generated by SharePoint lists.

I am building a PowerApps for my practicum, and I am stuck. (I have issues with collection, radio button dependencies, checkbox displaying values.) I believe my issues are because I set up my dataset from excel. Is it difficult to change it to SharePoint? I am assuming that all my expressions will have to change and I am discouraged. Any suggestions?

Hey Carolina, It all depends on the type of columns you use for the SharePoint list. Single line, multiple line, number, people and group and number are the easy ones to work one.I'd start using these first. The beauty of using SharePoint is that you don't have to worry of the primary ID column since it is automatically generated. Now, things get interesting for the formulas because you run into delegation issues depending on the combination you use. Start small and work your way through, I personally believe it is worth it.

How can I retrieve data in Power Apps from a SharePoint list based on source list item ID? What I want to do is have fields like FormID1, FormID2, FormID3, etc. in my Power App solution, and be able to retrieve combinations of item detail from any connected lists on load, using source list ID numbers provided by Power Automate. How can I do this with Power Apps?

Hey Erica, This three-part series video I did is exactly for the scenario you mentioned. In a nutshell, you need to have that one table/list which saves the relationships of all the tables using IDs. Then you can relate those ID's using Lookup or Filter and see the data in your forms.

I may have missed it, but why have you chosen to create several different lists and associated them rather than have one list with all these relationships being handled as filtered views of the various columns?

Having all the columns in a single list increases the overall number of items (rows) you will have to manage. Yes, you can filter them using a view, but that doesn't decrease the total count of items.

What is the difference between Lists and Sharepoint lists?

Why are you not just using Dataverse instead of Sharepoint?

To build standalone apps with Dataverse will require additional licenses.

Thanks for sharing your knowledge Daniel, however I found this video difficult to watch. You are getting often too deep into small not important details, jumping quickly from one thing to the other, adding some remarks which might be a bit out of the topic as they just pooped out in your mind. This all getting me confused. I do understand relational data bases and this is the only reason I knew what you want to show on the slides, wouldn't it be better to show relations the way you can see it in relations manager in MS Access or Power BI? I think that if you have a decent plan of presentation and if you try to avoid meandering between topics it could be quite good. You have a good knowledge but need to work on the way you are presenting it.
