A very good and interesting webinar on the licensing enchilada.... figuring you need this hour long vlog trying to explain, topped with the confusing comments and chats, shows what a mess MS has created trying to solve every use case with a separate license (they really should learn from their big competitors). Hope this PAYG plan makes life a bit simpler, not sure yet.... adding to the confusing: there is also Logic Apps which might be of benefit of some users in terms of licensing. (PS: next time try to make the audio a tad clearer, it is hard to listen to 1hr video sounding half of the time like a telephone line with occasional squeaky chair😉). But in all: really big shoutout to Rezza and Priya, taking this time for the best explanation by far on licensing with some real-life examples and practical Q&A !! 👍

Hi Reza, Thanks for the much need session. Here I have little confusion. Suppose I want to only implement PowerApps and Power Automate in my application. For that Power Apps Per User License is enough or I need M365 (E3 of F3) or O365 license ? Power Apps Per User License can't work standalone ?

Hi Reza, Thanks for bringing this video. I have a question. An end user has a license for office 365 and he uses a canvas app. This canvas app calls a power automate flow. This flow in turn uses dataverse connector (running under service user connection) to get some data from Dynamics CRM. Flow returns this data to Canvas app. Now do end user need some license of dynamics CRM? If yes, then is there a work around to run that flow in someones context?

You can license the flow using the per flow plan. That would cover the flow for premium connectors for all users.

HI Reza and thanks for great video! I still have questions about licensing and what is exactly ment by "in-context flows". I have Power automate flow thats trigger is HTTP to receive JSON data from 3rd party. This flow provisions the Dataverse tables that is used in the Model-Driven App. Is this flow "in-context" or do I need license for this flow? Thanks!

What is the flow trigger? If http then you do need a premium license to run the flow.

Thanks so much for putting this together and making it available! I have a follow up question if you are still accepting questions. One of the actions for Site Templates in SharePoint Online is to "Trigger A Flow". Since this requires an HTTP trigger, the Flow requires premium licensing. Who requires the premium license here? The Owner (publisher) or anyone who might apply the site template to a SharePoint Online site?

Hi Reza, Hope you're doing well ! I have a question regarding licensing of Power Automate. I work in an organization doesn't use M 365 Suite for their Office Apps. Recently , we have received a requirement to create Power Automate Desktop Bot which can interact with tools like SAP. So, Can we purchase Power Automate/Power Apps Premium license without having M365 License. And , Power Automate Desktop is free for Windows 10 . So once we will deploy the BOT will it still be free ? I am too much confused on this.

I have an power apps with SharePoint backend and 4 different flows(approval + reminder workflows). All user (10,000+) has E3 license. Do I need to share the flow with all users so that it consumes the api limit available to each user?

Depends on the trigger of the flow. If automated flow, then it will run under account of creator only. You should not be sharing the flow with 1000+ users. Microsoft has increased api limits (announced at Ignite).

Hi Reza! i have a question, please help. i am using sharepoint ( power automate ) since i have a license for that but its asking me (giving a warning ) statement in order for me to run/test my flow: No Microsoft Dataverse database for this environment has been provisioned. Run this approval flow to initiate provisioning. what do i do/ how do i go about it? does this mean i need a seperate license for the database?

Approvals requires a Dataverse database to be created in the environment. Dataverse is premium to use. Approvals is standard connector (event though it needs a Dataverse database).

If a flow with premium connectors is triggered from an app which does not have have any premium connectors, it is clear that users need premium license. On the other hand, can we use power automate per flow license for each of these flows instead?

I have a power app license and I'm using it to save data from power apps to a SharePoint list. There is an automated flow that has been established that checks to see if any new items have been added to the list, then sends an approval and generates a new Jira (if approved). I am now utilizing the 90-day free trial (for Jira). Is it necessary to purchase the Power automate Premium license in order to connect to Jira?

I am creating a custom app, flows and bot (all of them only standard connectors) for frountline workers, will be diployed into teams. All of the frountline workers would be assigned with Microsoft 365 F1 license. Can they consume (apps, flows and bots) with out a premium per uesr license?

Hi Reza and Priya, starting from 51:10 topic of using power automate and triggering for users without additional power automate license. Priya admits that if using instant or sheduled flow does not require premium license if flow has premium features. Only creator needs. Is this statement documented oficialy? I talked yesterday with my microsoft account managers and they disagree with this statement. Is it possible to find the official written statement from microsoft about this issue so it is clear once and for all?

Power Automate has a per flow plan. As per documentation- it gives 5 flows premium connectors access. This license is at flow level and not at a user level. Ask the account manager to check with Priya :)

Thanks for clarifying many things - just one thing to know that if user is having Office 365 license and want to create approval workflow in non default environment for that need Dataverse and to create Dataverse in non default environment, need at least 1 premium license which will give storage capacity of 50MB ?

I have not talked about the grandfathered cases for awhile as I thought that those have expired by now (it was 2019 when the major change was made) ... is there any notes as to when that goes away or is it indefinite or separately (read as PRIVATELY) negotiated with the client?

Hi, when a user use an app which has automate flows, the api would be counted for that user or the for the user who has actually built that flow. For eg if a user has made a chat bot in power virtual agent, it has a power automate flow, now if another user use this bot which calls a flow, will it would count the api count for the user has built it or the one who uses.

Amazing session, thank you so much for this! Question, if I purchase an Attended RPA PA license and use my M365 license to create a canvas app in Power Apps using standard connectors BUT also using AI Builder (form processing). Can I assign my 5,000 AI Builder credits (from Attended RPA license) to the users? (they would have an M365 license) Or would they need to purchase an Attended RPA license in order to be able to use AI Builder credits in the app I created?

AI Builder credits are pooled at the tenant level and then you can assign the credits to environments. Any users in the env can make use of apps and flows and these will consume AI Builder credits that have been allocated to the environment. You cant assign AI builder credits to a user/flow.

Thx a lot Reza and Priya for your session. It was really amazing! I have few queries on Licensing- would be great if you can help to answer: 1. Will my synchronous plugins simple retrieve call will be considered as 1API call? ( using datavese model driven app) 2. If Powerautomate has multiple owners for schedule Flows on which account it api calls will run and can i share it manually? 3. Read that we get application user api calls per environment, if i make scheduled Powerautomate as my application user owner how will i make sure it will use those app user calls only 4 . If i change the triggering user in Powerautomate does it will use all api calls under user context? What if I dont select the specific option ‘use invoker connection’ option 5 If i make connection reference for any user ir app user , am I correct to say it will take only triggering User api calls?

Excellent informative session, as usual. I have Microsoft 365 A5 and Dynamics 365 F&O licenses Will premium connectors like On-Premises SQL, D365 F&O and SQL Azure be considered as seeded license? I am using these connectors in my flows since last 6 months.

Yes. You can use those connectors as long as the flows are extending/enhancing D365 F&O application. If the flows are doing something unrelated to F&O app, then it is no longer in the context of the F&O app license and you will need a Power Automate standalone license.

You can buy any power platform premium license to get 10gb like the power Automate per user plan ($15). You can use the 10gb to create environments where all your office users can use approvals which internally uses dataverse. But if you want to use dataverse connector in your flows, you will need premium license for the flows.

I believe there is no other option currently apart from per app or per user if the App is using a premium connector. The license is currently not timeframe based.

@@RezaDorrani - first we assume the ask is because they know their app is using a premium connector and, second, are we assuming they are guest users to the tenant itself for the one day (?) That second part is its own problem unless the license issue for being on the tenant in the first place is addressed, they will either fall in with the seeded license or not. Assuming, they are bringing in folks one day in the year for the one thing, it sounds like a case for the Portal and a model driven app leveraging the power of dataverse ... then the issue is about accessing the portal. Also, what ARE they doing that might not be handled in a cheaper more efficient way (cough cough forms cough cough ;-)) .

Thank you for the Live Session about Licensing. I had made a flow using one a Premium connector (a message came telling me that I am using a TRIAL Premium for 30 days). But then i decided NOT to use it again, so I TURN OFF the flow (probably I will Delete it anyway). But then, the next day, I received an email - the month billing, the amount HAS INCREASED for more than double. My question are, A) I am using a Trial Connector for 30 days, it supposedly will not automatically charging me for the next billing. B) It should give me an option or away for me to CANCEL the use of Premium connector C) Lastly, HOW CAN I CANCELL THIS TRIAL & BILLING? Thank you

Starting a trial doesnt charge anything. We only have prepaid licenses and the charge you are seeing is not from power automate.

Q: Hi Reza and Priya, Great Session. There are too many things , which i was not aware of. Absolutely an Eye-Opener session. License is a tricky subject and it requires a lot of clarity. There was one point mentioned about pooling of API Limits ,as API Limits with other users are getting wasted if we are using Service Accounts for writing the workflows. Great Suggestion. Microsoft should think on those lines for increasing the CSAT. There is another suggestion from my side about roll-over of left API limits to the next day. Majority of API Limit consumption would be during the weekdays , however, i anticipate that API usage would be on the minimum sides during the weekends (Saturdays / Sundays). So , if i am not able to utilize my 2000 limit, i should have a provision to roll over my left API limits to next day. As you suggested that Expressions could significantly reduce the API calls, and Reza is about to do a series on Expressions, i am really looking forward to go through that series , so that we can save some API calls. Also, by any chance, can we get a copy of the presentation , which was demonstrated in the meeting ?

Hi Reza and Priya, First of all Thank you so much..!! for the great content. I have question: For example: In an organization, 8 users has Power Automate for Office 365, so daily Power Platform requests/API would be 2000 API/user/24 hours ( 8*2000 = 16000 API/24 hours) and 2 user has Power Automate Plan 2 (grandfathered license), so daily Power Platform requests/API would be 5000 API/user/24 hours (2*5000 = 10000 API/24 hours). Does that mean that it will pooled to tenant level with a limit of ( 8*2000 = 16000 API/24 hours) + (2*5000 = 10000 API/24 hours) = 26000 API/24 hours and all users can consume it from this pool OR user who has Power Automate for Office 365 will limit to 2000 API/24 hours and user with Power Automate Plan 2 (grandfathered license) will limit to 5000 API/24 hours?

Api requests are not pooled. This is to make sure a heavy user doesn’t end up consuming all API requests of a tenant and impact everyone else. Since the license is per user, the limit is per user too. So all office customers get 2K each and grandfathered plans get 5k each.

Turns out Microsoft has removed Database Capacity for trial Per-User licenses this year. The solution is to end the trial and start paying for the licenses or just buy a capacity add-on if you want to enjoy the trial which only lasts a month.

We have O365 license (Power Automate Plan1).If I am using a flow for sending mail Notification on add or modify sharepoint List. or Permission setting for Document in Document Library or something. something. Does it has any limit on daily basis etc. becase sometimes flow fails randomly. Currently the user base for my Application (Flow) is 5K but in next application may increase.

Il try and answer these based on what I know :) 1 - I don't think it will help. 2 - E5 will also give you Power BI. From Apps and flows perspective, it makes no difference. 3 - 2000 premium licenses would be required.

API Calls with Power Apps is when the App makes a request against a connector. Example: Get items from SharePoint list. That’s 1 API call.

At times, we may need to access other environment Dataverse data in Power Apps canvas app. We are having Power Apps per app plan licenses for all users in each environments. Below are the clarifications 1. To access other environment Dataverse data from Power Apps, whether users need separate licenses in those Dataverse environment? 2. I had this question a while back so I'd like to share my experience so far with my organization. I was asked back in September to look at Power Platform as we were working with a vendor at the time who was converting our SharePoint 2010 workflows to Power Automate. I spent the next several months studying and figuring out what they were doing and even created some automation myself to where those parts of the project could be cancelled. They were later given to me. I'd say jump in and prove yourself. If you've been asked, step up. If you haven't been asked, show interest and see if you can start with little projects. Managers love nothing more than for their guys/gals to show interest and even excel while also saving the company money. That money going to a vendor could be going to you (would be nice if it was ALL of it, but I digress, lol) I took initiative when it came to certifications. I checked out Microsoft Events where they had a catalog of free trainings and events. I signed up for one of the Power Platform Fundamentals trainings and took off from there. Study, pass, combine your practical experience with your certification, and you'll definitely add a lot of value to yourself. If your company doesn't see value in your skillset, another company surely will. Lastly, my manager and I sat down and talked about my certification path. Since I passed the PL-900, I'll be taking the PL-100 later this later after I complete some critical department projects. Next year though is where it gets intense. We were thinking of the PL-200 and/or the PL-400 possibly. What I'm getting at is if management finds value in what you are doing, they'll find money for you to attend classes to increase your skillset. They would rather invest in an employee that will stick around as they get more ROI (Return on Investment) than outside help. I hope this helps you out on your journey.

First, thanks for making this content, but there is a doubt for me even after repeatedly rewinding to the section I do not understand. When you mentioned the Power App running the flow within the context, can we have a more significant example because this will cause user or corporation purchase unnecessary extra license.

I been thinking about another scenario about the API limit request, example if someone keeps adding data to SharePoint list and my flow is associated with that SharePoint list, hence it will keep triggering my flow wouldn't this will cause my API limitation hit earlier.

If Power Apps calls flow the flow runs under context of user running the App. Power Apps license will cover the flow license in this case.

Depends on number of items. API limits have increased recently.

@@RezaDorrani Thanks for the explanation. So if my Power Apps call the flow includes Approval Connector or Outlook Connector it will require another Power Automate license? Let's assume it does require Power Automate license and I have E3 or E5, it means I don't need to purchase any Power Automate license. Since E3 and E5 have the Power Automate license that covers the standard connector and Power Apps have the right to use Premium Connector.

@@issacong6280 Outlook is a standard connector. E3 & E5 will cover you but not for premium connectors.

Everytime my boss asks me a question about licensing I give him an answer and then I say “I think…..I have no idea…..it’s all so complicated…..they really need an entire course on licensing.” So thanks! Also, I’m just gonna say what everyone else is thinking. You two need to go on a date or something.
