Only video I found that is current and clear, well done. M365 tutorial videos should auto delete after 6 months on RU-vid, MS changes things too often.

Muna, thank you so much for your explanation. I have a question. I enable online archive, I can see it on the web-based Outlook, but I cannot see it on the desktop Outlook?

It might take sometime to show in outlook desktop...you might have to relaunch outlook or rear cases create a new outlook profile

Thank you. You can run the Manage folder assistant PowerShell command if you are on Windows to force the settings. See below: learn.microsoft.com/en-us/purview/set-up-an-archive-and-deletion-policy-for-mailboxes?source=recommendations#optional-step-5-run-the-managed-folder-assistant-to-apply-the-new-settings

Yes, emails will be stored in the in-place archive space

Question.. if we have users that have lots of old pst files that are filling up their laptop hard drives, would this work for them, or do we need to do something else?

If the pst files were manually exported from outlook as backup, this will not work but if you mean the regular outlook pst file getting large as the storage, this will work

Please what admin permission do I need to be able to create retention policies? I do not have 'Compliance' button/option with my Exchange Admin Center role when enabled Entra ID.

To be able to create retention policies, you need Global admin role or Compliance admin role
