I don't know what I missed that everyone else got, but I don't need organizing concepts I need to know HOW to organize - how do you move between sections, or between notebooks? How do you start a new notebook with pages from an existing one? Keywords? I can figure out which ones to use thank you very much, but HOW do you enable keywords and "attach" them to a page? I can't believe I listened to all 11 minutes and didn't get a shred of information that I actually needed. NOT helpful.
Hi Lauren, I'm sorry you didn't get anything helpful from the video. I can make some future videos on some of the things you suggest and come back and update the comments here. The one thing I can answer quickly is about keywords - type them anywhere on a page and you can search them later. I often add a line at the top or bottom or my page that says "keywords: word1, word2, etc." so I can tell that line is not part of the page content. ~Michele

So it works into being a nice package that people (like myself) can comfortably handle. Switching from EN, and understanding how in ON works is a little bit challenging. In EN you don't close anything, everything is always there. I have my system. Like, I have a "filing cabinet" and an "archive". In filing cabinets are going things I scanned and what normally you would keep as a paper in folders, etc. The filing cabinet is not actively used, it just holds the things. If it is closed: can I search in it? Can I move pages to it? If any links are showing there, will be clicking on the link opening the notebook? BTW, can I create a link to a section also, or just for a page? thanks for the answer!
Hi again ZsuZsu! If a notebook is closed, the search function will not search that notebook. As a way to work around this, you can go directly to OneDrive (Microsoft's cloud storage service) and search there. In my experience, this will find my search term in open or closed notebooks. Re move pages: if a notebook is closed, it won't show up as a destination when you try to move a page to it, but you can open the notebook in order to move the page. Re link to a closed notebook: I just tested this on my own account and the link did open my closed notebook. Re section link: Yes, you can link to a section. Right-click on the section name and copy the link to the section. I think I got all of your questions! ~Michele

Great tutorial, if it is not too much to ask, could I get you to tell me how did you get the tabs on the left hand side? Normally they are horizontally and at the top, my eyes agree with seeing the tabs on the left , or right like bookmarks or address book style.
Hi Gilbert, thanks for the comment! The tabs on right vs. tabs on top has to do with the version you are using. If you are on a Windows machine, you have two versions of OneNote to choose from right now. They are called OneNote for Windows 10 and OneNote (formerly OneNote 2016). This video was filmed in OneNote for Windows 10 which has the sections and page names on the left side. You are probably using OneNote, which has them on top. You can install both versions and switch back and forth at will as long as you store your notebooks in OneDrive (Microsoft's cloud service). There is a long history on the two versions, but the last thing I heard is that we should have OneNote for Windows 10 until at least 2025. Hi nazanin, Install the app on your phone and sign in the same account you use on your desktop or other machine. Everything should sync automatically if you are using Microsoft's cloud, OneDrive. 2 things to note if you are having trouble syncing: 1) My Android OneNote phone app has a setting I can turn on to "Sync on wifi only" to save data. When I am out and not on wifi, I have to uncheck this to sync over cellular service even if I try to force a sync. 2) If you are using an older version of OneNote that allowed for local storage, I don't believe you can sync this to your phone since your data would be stored on a local hard drive. Ignore item 2 if you only use OneDrive. Hope this helps! ~Michele
My school uses OneNote for our class notes and I have my notebooks for each class but I'm struggling on how to name each section and pages. Normally I just write the date for the section like 25th of Feburary. And then the page is 25/2/22. And then inside the page I just have my titles in bold along with subtitles and all the writing for those subtitles are indented. But when it comes to finding notes I did on what day, it's really difficult to find it.
I might just have a notebook that says school. And the sections are subjects and then the pages are the dates. So it's all in one notebook so I'm not jumping from one to the other. The issue is that we also use physical copies for each subject and can't multi use a physical copy.
I have never used OneNote Classroom notebooks and don't have any experience in education so I don't have any specific suggestions. However, sometimes I find it helpful to answer questions about something to help me figure it out so here are a few questions. I'm not sure I understand why 1) you have both a section and a page with the date and 2) given that you do have both the section and the page named with the date why you have trouble finding what you did that day. @@MicheleChristensen Well, we do different topics in 1 day and we also get physical handouts from some classless and digital from others. So we have some notes in physical copies and some as digital. Because I named them the dates I never can remember what day I did a certain topic as we do the lesson and like 2 weeks later we have an exam and then I have to go back through all of them along with the physical notes I have done like at the start of the year and gradually moved onto digital copies. I normally just flip through all the pages until I find what I need or through a folder for worksheets. I'm still learning how to properly write my notes as I just copy and paste from a slideshow and I'm still learning to remember to tag something or link it. I'm just very forgetful and that plays a big part when it comes to my un-organised notes.
@@XxShade_FrostxX Good explanation! I'm not sure if either of these ideas will help, but 1) you can add a photo of a handout or classroom whiteboard. That way, all of your handouts are in OneNote whether you get the handout in digital form, on paper or on a classroom whiteboard. To add a photo or scan from your phone, go to the page in OneNote where you want the image to appear and click the camera icon. This will let you use Office Lens to scan the image. Alternatively, you can download and use the Office Lens app directly and save the image to OneNote. 2) I like to use "keywords" on my pages. Keywords are not an official feature or function of OneNote - that is what I call them. I add a line of text that has words I think I will need when I will search for when I am looking for the information later. If I am storing my Aunt's Christmas Cookie recipe, I may not remember what they are called but I might be searching for "Christmas" "cookie" "recipe" "Aunt Jane" etc. I hope that helps! ~Michele

I have OneNote Windows 10. The sort icon you showed is not on OneNote Windows 10. (I could be wrong. If I am, would you direct me to the proper information?) I like OneNote better than Evernote, however I have over six hundred notes. I do not relish the idea of having to sort everyone within their specific sections. Do you have any advice?
Hi Ira, I do have the sort icon in OneNote for Windows 10 which is what this video was filmed in. I think I got this feature around the beginning of October of 2020, so less than two months ago. It seems to me that updates roll out to users at staggered times so maybe it hasn't gotten to you yet, but two months seems like a long time. Are you on the most updated version of OneNote for Windows 10? I just checked and my version is 16001.13328.20348.0 To find your version, click on the three dots to the upper right, then settings then about. If you are fully updated and you still don't see it, that might be a good time to reach out to Microsoft support because I can't think of another reason why you wouldn't have it. He recommended that I use OneNote 2016 instead. I opened OneNote 2016 and it did not include a sort feature either. I believe what you shared with me. I have the identical version that you have. There must be some type of quirk with the app. (Previously, I was able to sort my pages using a sort feature. I guess that feature has been removed from some of the last two versions of OneNote) I like OneNote, but this issue is frustrating for me. Evernote allows you to sort notes using an icon that I saw on your OneNote app. However, I prefer the features and flexibility of OneNote. I will continue to use OneNote and gradually sort my pages manually. (This sounds so 1985) Thanks for your videos and your help.

Hi Shubhendu, This is the default view in OneNote for Windows 10. What are you seeing that looks different? Also what device are you using? OneNote 2016 has the section tabs on top. ~Michele
To update, i opened OneNote in the browser and the tabs were on the left. The tabs are long the top in the desktop application and from what I can find there is no changing those.

Whether the tabs are on top or on the side depends on the version of OneNote you are using. Hi Yogen, I am not sure how tagging works in Evernote, but OneNote does have tags. They are searchable little symbols that let you tag something as a task (checkable box), important (start) and more. Thank you Sue! I am glad you found it helpful and I appreciate you telling me. As far as I know you can link to a page, paragraph, section or notebook. To link to a page, you can use the angle brackets; i.e. to link to an existing page called "Carrots" you would type [[Carrots]]. To link to a paragraph, put your cursor to the left of the paragraph, right click, and select "copy link to paragraph." You can then paste this link where you want it. For sections, put your cursor over the section name, right click and select "copy link to section" and paste it where you want it. For notebooks, it's similar: put your cursor over the notebook name, right click, select "copy link to notebook" and paste it where you want it. ~Michele

@@saeidraned I wasn't annoyed, it sounded just like you described - that you didn't get what you were looking for which means a chance for me to do better at matching titles and videos and perhaps making new videos. I did think about your comment and realized I get a similar question often - something along the lines of getting started and what to do once you open your account. I have this video about third in my queue, so hopefully by the end of the month. As far as merging notebooks, I believe you could do that by moving sections. Right click a section name and them select move or copy, and select the destination notebook. Unfortunately, this would be 1 section at a time but at least it would keep the sections intact. Another thought - why do you want all of your notebooks merged? There is no right or wrong answer, but I like having separate notebooks for the big areas of my life. Also, smaller notebooks sync faster than big notebooks so that might be a factor too. ~Michele

You forgot Section Groups. That's part of the hierarchy. Also sub-pages. Or are they just in ON 2016? That's the king of Onenote imo. ex. Notebook: Cooking Various Sections regarding different foods (with various pages) Make a Section Group such as Breakfast foods; Lunch foods, Dinner foods, etc. (basically creates a compilation of various Sections into one group). Just adds another useful level of hierarchy.

In OneNote for Windows 10, you can right-click the page name from the page list on the left and select make sub-page. This will indent the page further. Hope that helps, thanks for the question!
From data structure perspective a 4 level structure would show years as notebooks Then quarters as groups of section Then each group to contain 3 months And each month will have say a page for a day Will appreciate if any onenote alternative can boast of such a 4 level structure for interface display And 5th level is each Windows account when data volume is large say I would create a separate account for all Utube videos
Hi Yogendra, If you are working on a pc you can use OneNote 2016 for now. That version of OneNote has the 4-level structure you describe. You can also also make subpages for another level of organization; both OneNote for Windows 10 and OneNote 2016 have this feature. Hi Jason, thank you for your comment! To move the recipe section in OneNote for Windows 10, you can right-click the name of the section in the section list on the left. A menu will pop up with the option to move the section to a new notebook. For backups, I don't have a best practice or anything I can pass on with confidence; I don't actually do backups of OneNote (I know, yikes....). I only use the Microsoft Cloud OneDrive and have accepted that I may lose my data if that cloud goes away (Disclaimer for anyone reading this: I do not recommend this for everyone. It is something I have considered and found to be a tolerable risk). Here are two ideas I might try if I were backing up: 1) OneNote 2016 has an option to export a notebook, and to reload it I think you would use the open notebook and specify that notebook. You can also export your notebook in other formats that don't require OneNote to open such as .doc or .pdf. 2) You might be able to copy the entire file for a single notebook or all notebooks from your OneDrive account to another location using a copy - paste command. Sorry I don't have a better answer. ~Michele

Hi Yogendra, for the most part these tips are general tips that can be used on any version of OneNote. I filmed this video in OneNote for Windows 10. The display with two columns on the left is the way OneNote for Windows 10 displays. I don't know of a way to get an additional column. If you are using OneNote 2016, the tabs will be on the top. OneNote 2016 also has section groups, and I so far I don't believe that feature has been added to OneNote for Windows 10. I hope this helps! ~Michele
I once knew how to set up 'grey notebooks within notebooks' and then the 'subsections' would appear from those. any idea how I did that? I have them set up in my old notebooks but can't remember how I did it. So I have notebooks with subsections and THEN pages within each main notebook.
Hi Sandra, Is it possible you are talking about section groups? Section groups are an organizational level between notebook and section and sounds like what you are talking about. Try right-clicking in a blank part of the section list in your notebook. You should see two options: Create a New Section or Create a Section group. I hope this helps! ~Michele

Hi Carol, I have not yet experimented with this (so many OneNote features to try!) Here is one idea that might help - send the pages you save to one specific location and make it part of your routine to move those pages where you need them. In my case, anything I send to OneNote goes to my quick notes, and then part of my weekly planning is to process the things in that section. ~Michele
Is there a way to mass move documents that have a key word? Ex. We have piles of loose papers... bills etc. I'll scan them all into print to pdf. Once in onenote, I'd like to search all electric bills and have then moved into a separate section.
Great idea Angela! Unfortunately, I don't know of a way to grab just the electric bills and move them into a section. I like to use Office Lens (phone app) to save documents in OneNote. When I'm scanning a bunch of papers, I have Office Lens send them to a central place in OneNote (I use my quick notes section in "Michele's Notebook") and then move the pages from quick notes to where they belong. You can name your documents when you save to OneNote, so you can select all of the electric bills and move them at once to where they belong. ~Michele

Hi SplashPoint, are you talking about printing a OneNote page in landscape (e.g. printing a OneNote page onto paper or into a pdf)? If so, that should be in the printer settings (not in OneNote settings) but I can't say for sure because I don't use Mac. Does it run Android, iOS or Windows? If so, you should be able to download the OneNote app and use your pen on any page in OneNote. On other stylus-enabled tablets (e.g. iPad or Samsung Galaxy Tab A with S-Pen) you can use the stylus to write on a worksheet. Sorry I can't be more helpful! ~Michele

It sounds to me like you want to have a list of section names in Excel and have OneNote create sections with each of those names? Is this what you mean? Hi Subbu 20vssm, this is a feature of what version of OneNote you are using. If you are using anything other than a desktop PC, you only have one version option and it will look like what you see in this video. If you are on a desktop PC, you can use OneNote for Windows 10 which is the newer version and what I am using in this video. You can also use OneNote 2016 which has the sections in tabs on the top and the page list on the right like you describe. Both are free with or without a Microsoft subscription and you can have both installed on the same PC and switch back and forth between them. ~Michele
Interesting question Patrick! I don't actually know any more than an average cloud user about protecting data. I do use an Android phone, and in case it is helpful here is what I do with my pictures: 1) I use the free, unlimited Google photos backup. They will store a smaller file size of all your pictures with an unlimited amount of storage. This way, even if the backups are not the highest quality I always have at least a copy of all my pictures even if I lose my phone. (They also will store full size files but only up to the amount of storage you have in your Google account) 2) I pay for a home subscription to Microsoft Office and with that I get a 1T of storage. I also have photos backed up here automatically just because I have the space. 3) My husband is a programmer and built a home server for us with robust backups so ever so often I copy my pictures onto our home server for additional backups. I don't do any organizing in the picture gallery so I don't have anything to offer there. I hope this helps! ~Michele As far
Yes Carol! That is one of my favorite things about OneNote - it is available for pc, Mac, iOS and Android as well as online. The other user has to have OneNote (available for free), and OneNote may be a little bit different for a Mac and a pc but you can share a notebook. You should have a "share" button on the top right of your screen and you can share a notebook with your collaboration partner and give them edit or read-only permission. ~Michele

Hi Adeeb, thank you for your kind comment! 1) I don't delete notes, so when I archive them I put them in a notebook that stays closed. "Closed" just means the notebook won't show up in when you look at your list of notebooks unless you click "more notebooks." 2) I just tested a .txt file that I edit in Notepad and used the file-print option from Notepad and printed to OneNote as the print destination and it worked well. I don't know of a way to bulk import Notepad notes into OneNote. 3) I don't know of a way to migrate, but you can share your notebook from user to user, so you could share a notebook from one account to another and give the second account edit privileges and be able to access it equally from both accounts. If that doesn't work for you, you could make a copy of the various parts of the notebook in your second account once you have access in your second account from sharing it. I hope that helps! Michele
Hi Gaming, if I understand your question correctly you created a note in OneNote on your Android phone and now cannot access or find that note in a desktop version of OneNote. This could be a sync issue. Try forcing a sync from both your Android phone and your desktop for the notebook in which you made the note. From the phone, open the notebook you made the note in and then click the 3 vertical dots in the upper right to get a menu. Click sync [name of notebook]. From the desktop, open the notebook and right click on the name of the notebook in the upper left. Select sync [notebook name] from the menu. If this doesn't fix your problem, check the OneNote settings on your phone. There is an option meant to save data which lets you say you only want OneNote to sync when you are connected to wifi. I'm an Android user too, and if I have this option selected I cannot force a sync from my phone if I am on cellular signal and not wifi. I hope this helps! ~Michele
Hi EDS S, I got a lot of comments of this nature, i.e. that people wanted to see how to do the things I talk about in this video. I have started making some follow ups where I show how to do those things. This playlist might have what you need. As for moving pages, you can right-click, select move/copy and select the notebook and section where you want the page to go. You cannot move an entire notebook into another notebook in one command, but you can move/copy each section of one notebook into another. Right click the section name, and use the move/copy command. Hi Sandeep, as far as I know the appearance you are describing is only found in OneNote 2016 (the tabs are on top and the list of pages in your current section is or can be on the right). The good news is that Microsoft announced a few months ago that they would be extending support for OneNote 2016 so it will be available for longer than expected (and it is free to download and use). Michelle, I have saved it video so I can watch this again. How long have you been using ON? I am very disappointed that ON is no longer allowing for 3rd party add-in's like Onetastic. These were invaluable macros for ON, and MS seems to have taken the position they are rolling our programs regardless of their current users. Is there any source where I can find some of the Onetastic type macros, like to create calendars, etc.?
Thanks for your kind comment Hulen! I have been using OneNote about 3 years. I don't know of any third-party ad-ins for OneNote for Windows 10. The last I heard, the Win10 version does not support add-ins at this time. I believe the people behind Onetastic want to make a version for OneNote for Windows 10 if Microsoft allows it at some point. You probably know this, but you can still use OneNote 2016. Support decreases in 2020 and stops in 2025 so there is still quite a bit of time. ~Michele

Hi Thomas, you can link to a page by using the right-angle brackets. To link to an existing page called "Apples," you would type [[Apples]]. You can use the same process to create a link back and forth between two pages. If you want to create and link to a new page called "Oranges" in one step, you can type [[Oranges]] which will both create the new page called Oranges and create a link to the Oranges page where you are typing. Hi Miss Hiker Pants, The only way I know of to get the tabs back on top is to use OneNote 2016, where they come on top normally. This video was filmed in OneNote for Windows 10 so the tabs are on the side. I wish I had a better answer! ~Michele
Hi! Thanks for this video! Question: Can you synch the content of OneNote ONLY to the iCloud, and never to the Microsoft OneDrive server? Or, can you turn off synching on OneNote altogether, save your OneNote content to your Mac HD, and then synch notes directly to your iphone or ipad via bluetooth?
Hi Sintonias, I don't work on Mac or iOS so I am not sure of the answer. On the PC, the current version of OneNote only works with the Microsoft cloud (OneDrive). Are you on Facebook? Hi Elisha, Thanks for the idea! I'll consider this but I don't know if I will end up doing it. Onetastic works on OneNote 2016, which is no longer the current version of OneNote on PC. OneNote 2016 will be available for a few more years but is not being updated. Unfortunately, the newer version of OneNote (OneNote for Windows 10) does not support add-ins like Onetastic so I'm not sure I want to dive in to something that isn't available for the current version. ~Michele
@@yogamurti5317 I use one page per day, so not only is the date added to the page by OneNote (at the top, under the page name you add yourself) I also use the date as a page name so that helps. I just did a video on a fairly new (I think) feature in OneNote for Windows 10 that allows you to sort pages within a section by date created. That would let you create pages however you want, e.g. you could create 4 pages today for project a, b, c, and d, and then sort all of the pages in your section by date created. I came to learn HOW to organize sections in notebooks and move to other notebooks. Good information but just didn’t answer the primary question for me.
