Adding subtitles/closed captions/transcription to Zoom meetings can make them more accessible and easier to follow. I show you three different ways.
Method one: Powerpoint and screenshare

Hi Jamie, I was looking for a way to add subtitles to zoom meetings that I am attending (and so not hosting). Can Otter do that?

Great video Jamie. Is there any way that those subtitles can be saved as a separate subtitle file, such as .SRT or .VTT? My thinking is that once you have exported subtitles file, you can use it to translate your zoom presentation into multiple languages, not just a single language. Of course that would be done after the presentation is over... that is during editing of your videos, for those who record their presentations.

Great video Jamie. Thanks for Talita the time to make it. Question - if using Rev - will the transcription on the screen be a part of the full screen recording allowing participants to view the video and captions at a later date? Thanks so much.

Hiya Jamie, thanks for this discussion. A couple of quick questions. 1. In otter, is there any indication that one speaker has stopped speaking and another has begun? Or is it all one long text? 2. In my field it is likely that some participants will not want their meeting contributions to be included in a third-party live transcription for privacy and consent reasons. Is there a way for a participant to opt out of e.g. otter?

Hi Jamie, thanks for this helpful video! I'm having trouble sorting out how you're turning on subtitles with PowerPoint and screenshare. I found the three dots at the bottom left hand corner of my PowerPoint but several options are greyed out when I click (eg Last Viewed, Custom Show, and Display Settings). Any ideas of what could be happening?

Hi Camille, just after I uploaded the video I realised that the feature is only available in Office 365, so if you have a different version (without a yearly subscription) you likely won't have it sorry :( To double check go to the ribbon at the top and click "Slide Show" and see if the Subtitle options appear.

Saludos Teresa. Tienes que aseguaearte que primero selecciones el lenguaje en que estás llevando la presentación. Luego selecciona el lengua que quieres que aparezca en la panta, ya sea el mismo Español en tu caso, o cualquier otro idioma (de la lista proveída).

Hi, Jamie. Your this video on zoom translator is interesting, especially on the 1st option. However, I will be attending a few day's live meeting on zoom in which I'm just one of the participant. Is there a way to translate the live zoom speeches to english directly on the spot without recording them ?

Hi so far my zoom to Fb lives never had the subtitles on suddenly today it displays what we talk . Is there a way to turn it off as I do not want the same

Hiya Emcee, this will be in Facebook rather than Zoom and there are a couple of options. The subtitles normally go away if people turn the sound on. Or I think that the individual user can turn them off. There is some info here: facebook.com/help/427723640933279 but I'm not much of a Facebook user and its them that are adding them rather than it being a setting inside Zoom.

I'm trying to use the automatic captions by bringing up a PowerPoint slide but it doesn't seem to work. Maybe because I have an old version of Powerpoint (2013)? Instead, the best solution I've found so far is to use Google Meet for the captions (which comes free, and which I need for accessibility reasons), then share the screen on Zoom (for the breakout rooms, which Zoom lets me use for free as a teacher). It's a bit annoying that the two features (captions and breakout rooms) aren't both available on the same software, though.

I think it will be the version you have. It needs to me Microsoft 365. As a workaround you could have a google doc open and be transcribing to that then share the link

@@JamieBGall Thanks for this. I've just been experimenting with the Google Doc voice typing. I'll bear it in mind, but the standard of the transcription is quite poor, and there's no punctuation at all either. I guess it could do as a draft which I could then go back and edit before sharing with students who need it. But at the moment I'm leaning more towards the double-up of Zoom and Meet. Might slow everything down when there's a big class though...

Hi this is a little urgent. We are speaking to a movie star in Germany whose English is basic and our German is basic. One idea is to do this and capture our speech and then cut and paste this into google translate and then paste this into the Zoom notes for the guy to read it. Will this work. I guess so, but my question is whether it can do the listening and the translation into text on the fly. And also whether it can put this also into captions rather than the chat window. Thanks.

If you have budget and ability the best thing to do would be to use Zooms translation feature which will allow a translator to join and you can then speak normally and choose to listen to the translator instead of the speakers microphone. But I assume you can't. Certainly the transcription in Otter (or it is now available directly through zoom will be almost instantaneous but it will be a laborious thing to constantly copy and past lines into translate. I'd start off by having your questions translated properly, so at least they will be comfortable for them. You might be able to explore just having Google translate or something similar running the whole time. Have it listen and convert in live time. You'd each have the instance open locally. But I'd defo try and find a translator, which for German to English should be easy enough and quite cheap.

@@JamieBGall I have secured a retired famous professor from Germany to do this. They have the questions already. But tell me. If my son has Powerpoint open (your method 1) will the other person see the captions in German when my son speaks in English. Is that easy to set up?

@@DrDanielHoward Yes, as long as your son screenshares his computer then then other person will see all the text that appears, and if you have it set to listen in English and subtitle in German then that is what your guest will see.

Very informative! What do I do win I have a client that’s Spanish on the zoom call? When the client speaks Spanish I need to see English subtitles. When I speak English my client needs to see Spanish subtitles. Can this be done?

This is a great question and unfortunately I don't know any easy way to do this. This would be very very clunky but perhaps you could run a two instances of google translate or some live translation software and share your screen to share both windows. Its a very inelegant solution though and hopefully there is a better one somewhere. but right now people can't select the language they see.

"but right now people can't select the language they see". I was hoping Zoom or one of the major players would produce this feature. It could be a major step in teleconferences! Right now, we still need to have an interpreter to communicate which is inconvenient most times.

Automatic subtitles I'm not sure. Zoom and Otter only do English just now but you could find who is the leader of automatic transcription of your chosen language (Otter was for transcription but moved to closed captions and you might find something similar) The other option is to find a company that do live cc where they assign someone to type the captions eg something like this www.captioningstar.com/spanish-closed-captioning-services/ (got that from google, don't know the company). That can be expensive though.
