Hi, Leila Could you create a video for Outlook for the Web? I was quite surprised when you said Outlook for the Web has more functionalities than Outlook Desktop: when I open it, all I get is a big nothing. All I have is Notes (some notes I take with OneNote on my iPhone) and the icon for To Do. I have Office 365, Windows 10. Clearly, I need some help there.
When you "Team" up with Leila, you "Excel" in "Office", your "Outlook" towards work changes, and you realize that, there are so many things "To Do"! Well done, looking for more, keep it going! 😊👍👏
Its such a shame that Microsoft requires 3 different ways to manage one basic productive elements --- TASKS! To Follow-up on email (verb) -> That's a task To do a specific work -> That's a task To plan (planner) series of actions on a project -> Multiple tasks Why to give different names to one common objective then? Why not to have tasks only and add a feature to put labels (hierarchical) to distinguish them? Difference between functionality of Web and Desktop I think its only sweet voice of Leila that is making this sound little digestible. But in actuality, its horrendous on part of MS to keep the functionality of same software ridiculously different on these platforms. I hope either they level it across all platforms or move away from Desktop to complete Web view in near future.
I create tasks by dragging email to calendar., In iCloud i can open that email directly from Calendar. In Office 365 i cannot. It is frustrating since only message appears in notes of appointment.
Microsoft is abandoning desktop apps in favor of browser based apps. I didn't like it at first, but I think its the right move. Start using the browser based stuff for all modern features.
And to push people even more towards the OWA: in the e-mail if you highlight something, then you can create a task or even a note out of it. It's soo great, when you need to do several things with an e-mail, then you can make sure you know exactly what to do.
It is also possible to integrate OneNote and To Do. If you create an Outlook Task in OneNote, it is also created in To Do. The assignment of a person also work except if you add more than one person.
I have Outlook 2019 and ms to do. I am logged into both programs with the same ms account. Unfortunately, I don't see my to-do lists in Outlook. How do I get Outlook to show me the to-do lists?
This was AWESOMELY helpful, brief but PACKED with SUPER USEFUL information. I am so grateful to you for making this. Integration, to me, is the power of the Microsoft suite but they don't always make it clear how all the integrations can really WORK for users. You bridged that knowledge gap so beautifully.
Hi Leila, I an a french fan of your videos. Thank you so much for this one. It is a shame that Planner can't assign tasks according to time slots in the Outlook Calendar. My colleagues think I am available for meetings when in fact, I am working on project tasks from Planner
What I miss in to-do that was available in wunderlist is the natural language input when adding a task e.g. I could write 'create presentation today at 3pm' and it automatically add the due date/time, and would add it to the equivalent of the planned section for today. Similarly it recognised things like 'do admin every morning at 9am' . It would automatically create the task as recurring with the correct time. This would greatly speed up management of tasks so we spend more time doing and less time organising our to do list. Going in and out of the settings for each task to add extra things once you've created it takes time.
i'm using Desktop version of Microsoft To Do and Outlook in Laptop, both outlook items and To Do items are automatically syncing like if i flaged emails or any tasks created in outlook calendar its reflecting in To Do - it has become too much and confusing is there a way to "UnSync" Out look and Micros soft To Do Please suggest on this, Thanks in advance :)
Love your videos! Thinking of joining. This video is from 2021 but it is currently 2024 and Tasks by planner and to do is no longer an available application in Teams. Do I just use Planner?
Hi Leila,, this was helpful after having a good dig around myself in Teams and Outlook. I wondered, if there was a way to add "My Day" to outlook (not the one in planner and to do in Teams). The planner and to do in Teams My Day does not show your calendar entries. I wanted to show tasks from my planner and to do along with calendar entries in Outlook and can only see this type of My Day in the web version of Outlook. Would this be the only way? thanks
@LeilaGharii. I love your videos. Thank you. Do you know if there is a way to have an action item in To-Do be linked over to planner? I know planner goes automatically into To-Do.
Great video again as w're used by now . Is there a possibility to copy outlook tasks into a team channel? I would like to assign the task created from an email to one of the other team-members. Now I have to recreate everything and add the attachments to the task
I can enter a new Task from the desktop PC Outlook, but once I press enter it’s no longer visible on the Outlook desktop version; it will sync with my mobile MS To Do app, however-why is that?
In Tasks by Planner and to do - when looking at the headers, i see List, Board, Charts and Schedule, but it seems to default to 'boards' , how can i have it default to something else, like "List"????
With the new Micfosoft 365 functionality in 2023, it seems as thought the ability to convert an email into a calendar apointment has disappeared? Also many more clicks to add to tasks? Any updated advice?

Hello..Nice videos. I have a question...how to synchronize outlook that does not have a microsoft account with the application todo which is logged in with a microsoft account..thanks..
If i have an E-Mail attached to an Task, I can only open this E-Mail in the Outlook Web Version ... is there any posibility to open this Mail in the Outlook App? Thanks for your help
Need some clarification, If my "To Do" platform is linked/ connected to my office colleague. Will my colleagues have full access to my "To Do" list or will they see only what is assigned to them. Please help me with this clarification.
In the OWA calendar view it used to be possible to show the to do pane on the right and on that choose to show to do tasks, flagged emails AND planner tasks. I can't find the way how to just show the planner tasks. Is there any way to bring it back?
Have problems with sync between outlook365 desktop and to do. Have seen many comments on web about this problem, but you do not seem to have it. Is it me? Love your videos!
All wonderful suggestions, however, you switch between programs too often. App vs. desktop, then you tell us that some items only work with one or the other. Better training would be either the App or Desktop.
The workflow is against humanity, and base the old fashion and based on the ancient software, it is a negligent practice. I seriously consider to give up to use microsoft to-do.
is it possible to make a task recurring in Teams? i know i can in OUtlook, but i don't see that option in teams. Also, distinguising among Tasks, ToDo, Assigned to me, confuses me.
Does anyone know a way of creating a Planner template and copying it into different channels in teams? I would like to build a standard template for teams and include a tab for planner but with preset columns in planner but I cannot seem to get it to copy over the column data. Any help would be gratefully recieved.
My To Do and Outlook are still not linked. You said you were going to show me how the To Do and Outlook were integrated. I don't get half the functions you show. My To Do and Outlook don't sync?????
Is there a way to assign one task to multiple people and have the task marked complete by each individual. For example, we have a new hire training class and want to give each student in the class the same list of tasks and track their progress. Thank you.
Just curious… if you have a project or to do list shared with a team… say it’s a “monthly meeting” task and you create a checklist in this “project/bucket” where everyone needs to do each task… is there a way to have a check list for each person in that one project so that each person’s progress can be tracked and that a task isn’t overridden by the first person that competed that task?
Your channel is very useful. Most productivity channels are aimed towards freelancers who can choose the apps they work with, so they focus on Notion, Evernote, etc. On the other hand, corporate work is almost exclusively based on Microsoft.
Most important is not in the video: How to export or extract steps to e.g. excel. When she shows tasks in outlook she does not indicate if somehow we can see steps. If somebody knows something, please, help me...
That was great. So clear, so full of actionable information. The favourite thing I learned was dragging an email to To Do to make a task... Brilliant! Thank you so much for making this; keep up the great work.
@@LeilaGharani Thought you might like to know that three of us at work are already using the email drag to create a ToDo task trick. Your knowledge is flowing well beyond your RU-vid audience. (And, yes, I shared your video as well.) Thanks again.
@@rachael5029 That is what I do not understand. I do not have that option in my settings. I tried to add more accounts. Cannot get that right. Have tried to flag e-mails in the account that is linked to To Do. Does not work. Very frustrated. None of the RU-vidrs show how to solve this problem and I don't know why it is different with me. I use 365.
Very Helpful - My issue was I could not get it to work -UNTIL I ADDED ANOTHER MICROSOFT ACCOUNT - As a Consultant, I have many accounts and email addresses. I can see everything now but have to keep switching accounts; only one click but a pain. With this RU-vid, I could see what I needed to do. I have used some of your other RU-vids always clear - sure you use a quality mic. Thanks
I've searched Google and watched your video, but come up blank. How do you select which set of Tasks to appear in the Outlook Desktop side-by-side email view? Currently only my personal Tasks show up there, so not those assigned to me by someone in the company via Teams Tasks by Planner. To see those I have to switch to the Tasks view by clicking its' icon in the bottom lower left and then select from the My Tasks list on the left which Task set I want to view from there.
Thanks! But the plain fact that you have to make a video about this proves that - as always - MS products are far from intuitive. Not your problem but as far as I'm concerned I'd rather wish Outlook doesn't crash as often as it does these days....Same for OneNote. Great concept but I can't make sense of all the different versions...And I've worked in ICT since 1974 and I _can_ read manuals...
I use the Outlook desktop app and I was expecting to learn how to connect & sync this with the To Do and other apps but you didn't cover that. I am logged into my Microsoft account on the Office Account tab, so not sure what to do.
Thank you! Interested if you still use onenote with all these other apps. I use onenote and planner and to-do apps lol I'd live to see how you'd use all of them.
Yes, so it looks like My Day is the missing piece. My Day is what I consider the most valuable. For my personal life, I use any.do and the Plan My Day is the best where you can move things around and figure out what you are doing TODAY.
This is great info! But I have a question. I "flag" a lot of emails that I have filed away in folders so that I can quickly find "key" emails in that folder. However, I don't want them showing up in my "To Dos" as they're not "flagged" because there's an action required; it''s just so that I can quickly find something. But all of these are showing up in my To Do app. Is there a way to prevent that? Maybe use the color coding categories to help find key emails instead of "flags" ??
Great video Layla… I’m blown away with all the stuff that this can do… I Have a annual membership to office 365 And take it vantage of very little that it has to offer… I can see were a lot of planner and task would be useful to me in my real estate business And I love the calendar integration. If I were to set something up with teams, do all of the team members have to be subscribers to Office 360? Everything that you do on the video is on a desktop… Is there an app that I can update my tasks on my iPhone as well as add new tasks during the course of the day? Can you take pictures with your phone and add them into your tasks.
Thank you again Leila. I'd like some insight from you. You mention around the one minutes mark that Outlook for the web is more advanced than the version for the desktop. Could you explain that? I have been struggling on the return to OUTLOOK - for instance, I cannot get the CONTACTS in Google Contacts to SYNC with OUTLOOK DESKTOP, yet they do with OUTLOOK WEB. In OUTLOOK WEB, there seems to be NO ability under PEOPLE to add contacts or do anything practical (even through the MS tutorial clearly shows a slight menu bar on pages in the PEOPLE section). A Tech at MS last night said that the WEB version is not meant to have the control i was expecting and needed to you the desktop version. I'd really like to hear you explain, you understand things so well and explain them so well. It is fully to note that you say TODO you run on your Desktop but OUTLOOK is more advanced on the Wed.
Thank you for this video. For the life of me, I cannot figure out how to make a task remind me with an audible and visual notification. It used to do that in the pre-365 days. I need something like a calendar invite does when a meeting is about to start, because I get so caught up in a flow of something I'm doing, and I forget to look at my Tasks list and prioritize my day. How has MS missed this crucial feature? Any suggestions or do you have a video showing how to be more productive with your To-Dos? I love the To Do app. It's simple to use, but it's missing this one feature that would take it from good to great.
The information about "drag-and-drop" to the Tasks section was very useful for me. Previiously I have used "move to Tasks" and email wasn not visible in my inbox anymore. What is not working for me: flags. No emails with flags are visible in my To Do and I have no idea how to fix it. Tasks and lists are synchronizing.
unfortunately Outlook online is not supporting Quick steps, so i have to use desktop Outlook which doesn't have same good integration with To Do. Terrible...
This is super helpful! Great tutorial on To Do for desktop and web-version. Do u have any guidance when it comes to the To Do app on smartphone (TDSM)? The tasks I create on TDSM do not appear on my Outlook app for smartphone (OSM) calendar. Specifically when I add a due date to a task on TDSM, I would then like to see the task on my OSM calendar; however it does not appear. I have looked online for ways for them to appear but haven’t had any luck. Wondering if u know of a way that u cover in a video.
It looks like there multiple teams in MS who are not taking to each other, keeping themselves busy and creating confusion to users and keeping them busy , typical MS.
So seeking advice. I have MS account based on gmail. My Todo syncs with outlook in browser, mobile and the default email app on windows. But I cant find any way to make it sync with the dekstop version of Outlook. The desktop outlook task won't show in todo or other outlook apps and viceversa. Any advice would be really appriciated.
Hi Leila, how are you opening the Outlook Desktop App from the To Do App when clicking 'Open in Outlook' in the 'Flagged email' list? Seems to always open in OWA.
Excellent! thanks Leila for this great tips!!! as you mentioned it's already available the option to create a task directly from a chat in teams... Suu-peeer !!!😃
Thanks for sharing these ideas. It will definitely help people like me in their work. I have a query if you could help. Once we complete all these todo items, can we download these hardwork to excel to show productivity...?
What happens when you assign a task to someone from outlook? I have this option in outlook 2016. I can also auto create a task from an email, if it is worded correctly.
That was very helpful! Do you know if there is a way to see your calendar items in your task app? I'm using the widgets on my phone and it would be nice to only have to have the task app or the calendar app widget. Thanks!
