Don't clean up your folder. Rather enable the 'conversation' feature. All mails on the same chain will be grouped and indented depending on how many branches the convo is making. Much easier and using it for years!
Hello, besides you preferring the conversation feature, do you have a reason as why the clean up may be bad? Could you please let me know reasons specifically against cleanup? I'm working with projects and invoicing, so many of my emails have the subject like XYZ-0001 invoice approval, or invoice request. I'm not sure how outlook handles emails with same subject in different months, so I haven't yet dared to clean up. I'm also a bit concerned about the conversation feature of 'branches' and ' indentures' as it may be confusing. Thank you in advance if you reply.:)

Thanks for the subject very good explanation, kindly is there anyway to tell others need to schedule a meeting with me . Outlook will auto-reply to them if the meeting they want to hold is conflict with others meeting already scheduled.

If I am booking a meeting between 2 people, one in NYC and another in London. The CFO I am supporting is in NYC and I am also in NYC, but the person who lives in London wants a teams meeting with the CFO. Am i booking in our NYC (EST time zone) or UK time zone??? The start and end date of the meeting (which is from 2 -3) should have an EST time zone, and it will be automatically converted for the person in London once he receives the invite, am I understanding this correctly?
I have 1 simple Question? Is outlook and all the other apps fully functional on a latest Mac? ?? So can I log in and see the shared files from company that works with exchange server ?
Leila, you are always teaching me something new. Thanks for the great tips. I use the Quick Steps to help process email quickly. Each Quick Step is assigned a shortcut with CTRL+SHIFT then numbers 1-9 after. 1-Archive, 2-Action (sends to a folder named Action), 3-Read Later, etc. I even have a couple of them set up to forward repetitive emails that need action to my team with a pre-written message that I adjust slightly based on the situation. I also use rules to automatically process some emails to other folders. For instance, I have a CC folder and all emails with my name in the CC automatically go to this folder. I process my inbox down to zero 3-4 times/day. I process the CC folder once per day.
The most vital for me is the Snooze function. But not for emails I received to remind me to reply, I am speaking about emails I send, to go back (after snooze period) on my inbox, to remind me... to push for a reply. Could not progress on projects without that. Unfortunately even if it was working well on gmail, it seems to not be a natural method for outlook. Indeed it seems you can normaly snooze emails received but not the sent ones. I found a trick, by adding 10 seconds for the email to be sent... and snooze it before it's really sent. Is someone doing the same ? Or do you have a better way to get back to your inbox the emails you want a reply but not replied ?
Thanks for the tips! Number 9 would be by far the best for me, BUT how does it handles attachments on prior mails? Does it delete them? I guess it does. Having an option to not delete the mails that include attachments would be ideal!
I have a rule that automatically eliminates 30% of email from my Inbox - it moves any email with the word "Unsubscribe" to a folder called "Unsubscribe "

hi Leila, I'm a fan of your videos, I learned a lot. I have a Question about outlook 365 web. it is possible to create a rule to include myself email in the CC over each email I send? I did it in the desktop client, but i can't do it in the web client, even using PowerAutomate could you give me a piece of advice?
My biggest find? Drag emails on to the calendar tab to create a meeting from the email. If someone sends an email with lots of info and says we need a meeting take the email and drag it it down to the calendar icon. Outlook will do several things automatically. It will create a new calendar appointment with the email copied into the meeting invite. It will also keep the subject line for the meeting. Then you can select a time and add some people and voila!
I colour code messages from my CEO and a separate colour from my line manager. These messages stand out from the crowd and dealt with first so really recommend it. I also showed staff how to add national holidays to their calendars - a real game changer as you only need to select once and no endless rearranging meetings booked on bank holidays. Love Leila’s presentation style - I have learnt so much in nice easy steps; thanks Leila - can’t wait to try these tips I will definitely try the sports calendar for the World Cup.
The tip about having an action required folder is genius. I'm already really heavy user of categories and flags to help stay organized but having emails in the main inbox color coded and flagged for action leaves me with a messier inbox than I would prefer.

Need a small help. I have Outlook 2016. I want to open outlook after login to it using my password. I don't want the default mode where, the moment I open outlook, the mails are right infront of me. Go to File -> Account Setting -> Manage Profiles -> E-Mail Accounts -> Select your profile -> Change -> More settings -> Security. There you can check "Always ask for logon credentials"

Colour coding is fabulous, but for some reason, those that I’ve set up using Conditional Formatting in the Desktop app calendar show up only in colour on the Desktop app calendar, but not in the chosen colours on my iPhone. Hi! I have seen that people change the delayed delivery option from 5 pm to another preferred time in Outlook. I create emails after hours and would like to send them the day after by, let's say 9 am. But with Outlook I have to go to options and change the delivery time and date for each email individually, which is very time consuming. I wonder why Outlook has never tried to address this problem. Do you know any smart and time-saving way for this problem? Could you please make a video for that? If you have already done so, please share the link. Thank you very much.

I sort my emailed threads by and date received, however if a contact "replies" to my emails I get their replies with, you guessed "RE:" and "FW:" which then sorts under "R" or "F" respectively. It drives me nuts !!

I did create an Inbox subfolder caled "Actions required" and tried to show the total number of emails in it but othing shows up... regardless I ask to show ALL or only UNREAD... I never see any numbers even though the folder does contain a few emails. In fact, only my "Inbox" and "Deleted emails" shows a count (number). Any idea why I have this issue ? Thanks in advance.
I love your videos. There is one item that you may be able to help me with while using Outlook. I use OL as my email program. I hated the IOS mail app because it just doubled all of the emails that I got in OL. I finally was able to completely removed the Mail app and I set Outlook as my default email program. So now the IOS Mail program does not exist on my Ipad. However, when I am on a web page that has an envelope icon to send the page to someone via email or use another program or app like Notes, it only shows Mail and does not show Outlook as an option. How can I convince IOS to allow me to send the message using Outlook and not Mail. Since Mail is not installed, I get a message asking if I want to install it. Any ideas? Thanks.
My Outlook I use for my job is through my organization and my desktop app looks different from yours. Regarding Tip #2-Color Coding, I don't have those View options. Is there a different app I need to be using?
The IGNORE button! It's the best icon in the world where you get endless emails where the conversation just doesn't stopped. Click IGNORE and the emails automatically go to trash

You can drag and drop an email to the calendar icon on the lower left part and directly create an appointment from the email. Sometimes it recognizes the date and time information in the email and fills it out for you automatically.

If I ever have any specific queries about Microsoft Office you are my go to You Tube Channel. I wondered though if you would consider doing series of videos tailored to a specific role. For example I am a Personal Assistant and unsure of how best to use outlook to maximise it's capabilities in this way.

I loved the clean up inbox feature and am dismayed not to be able to find it in the New Outlook. Am I looking in the wrong place? In general the streamlining (read: removal) of functions in the New Outlook is very unwelcome, but the addition of scheduling in the desktop app is of such great value, I have gritted my teeth and borne it. But if you have any tips on how to have the best of both worlds: the rich menus of the old Outlook with the schedule email feature of the New Outlook, I would love to hear them!
Is color-coding in the Web Version of the Outlook Calender available? I can't find it and when I do it in the desktop version, the colours are not showing in the calender of my desktop version. Can you help Leila or anyone?

I archived a specific folder following you step by step, but the emails cannot be retrieved. They show the individual folders but nothing in them. Where do I find them, starting to panic as these are client folders

Hi, I just tried the No 9 tip, but it shows thats all redundant emails will be moved delete folder. Is there any way I can choose the folder. I have been setting rules for this.
Tip #9 might just save me from committing myself to an asylum, but it seems like this is also deleting attachments from earlier e-mails in a thread. Am I missing something?
