You’re very organized and your videos are extremely professional, better than some you see from manufacturers of products even. I’ve used nearly the same file naming system as you have for over a decade now and it works pretty well. Mine is like this 2022-12-31.0_DOC_(103-James-St) I added a decimal after the date in case there are additional documents with the same date and subject, and after the date-DOC (DOC=Document, EMAIL=Email printout, WEB=Web page printout, STA=Statement, REC=Receipt).

Hi Joe. Thank you very much for the kind words. I really appreciate it. 🙂 It's great to be in touch with another person who is passionate about organizing! I really like your use of the decimal after the date in case there are two documents from the same day on the same subject. My way of getting around this is to simply put a number at the end of the file name. Like, "2022-09-13 email from joe 1.pdf" and "2022-09-13 email from joe 2.pdf". It's not perfect but it gets the job done. How long have you been using your system? Is it your own creation or did you pick it up somewhere? 🙂

Very nice video, I have a Snap Scan 1600 and find the interface confusing to work with. I have document management software that needs a work around because Snap Scan has no Twain driver. Your video makes the human side of the process more manageable. Thank you. Would just like to see a list of links to Amazon products recommended. Also can the process of tallying receipts be recorded like a macro or otherwise simplified so you don’t have to retype all those steps each time?

Regarding the process of tallying receipts (as I show in my How to Tally Receipts video), I think that it may indeed be possible to make a macro for this. You make a good point that it is a lot of work to carry out the process every time. I suppose that I was expecting that a person may only do it once or twice. For people who are routinely scanning receipts and wanting to tally them, they may indeed want to use a more powerful scanner with Twain compatibility like the Fujitsu fi-8170. 🙂

Thanks Sean- always great info video. I have one question , is it necessary to keep physical copies after they are scanned. Is there a point for that ? I can think of that only for legal document that is necessary. What would you suggest. Thanks.

Hi Mei. The answer to this question will depend on you and your comfort level. For me, because the physical paper takes up relatively little space, and because I don't exert effort to organize it (beyond keeping documents from the same year together), I find that it makes sense to keep everything just in case I may ever need a physical copy of a document, like an original receipt, or an invoice, or a signed car rental agreement, etc. Every so often (like once every few years), I find that I need to go into my papers to retreive something, so for me, it makes sense to simply keep everything, that way I am never kicking myself for throwing something away. However, this all depends on you and your comfort level. I have a friend who gets all of his banking statements online, and shreds all his receipts once he scans them. That works for him. Perhaps this may work for you, or perhaps you may want to adopt a hybrid system whereby you keep documents for a while but get rid of them after a number of years. I agree with you that legal documents should receive special treatment (depending on what they are). Tax documents should also receive special treatment and should be kept in accordance to whatever law applies to you. The Internal Revenue Service (IRS) offers all kinds of advice on how long documents should be kept which I think is helpful: www.irs.gov/businesses/small-businesses-self-employed/how-long-should-i-keep-records#:~:text=Keep%20records%20for%203%20years%20from%20the%20date%20you%20filed,securities%20or%20bad%20debt%20deduction. In Canada, the Canada Revenue Agency (CRA) offers similar advice: www.canada.ca/en/revenue-agency/services/tax/businesses/topics/keeping-records/where-keep-your-records-long-request-permission-destroy-them-early.html Please let me know if that is helpful and if you have any other questions. 😊👍

Great video! What do you recommend for someone just getting started with organizing their paperwork digitally? How do I know what scanner to get with all the different choices out there?

Hi Brenda. I personally think that the ScanSnap series scanners are the best ones on the market.
